Check-Out uses the familiar Check - Out screen as used in the Charges program.
Check-In just changes the status of the booking.
New Booking Ledger behaviour and additional colour status shading.
Legend
New Colours for a better Visual Status
Feint Grey
Checked-out
A booking shown in Feint Grey denotes a checked-out booking.
Blue
Checked-In
A Booking shown as a Light Blue colour is a Checked-In Booking
Light Red
Plain Booking
A Booking shown as Light Red is a plain booking and has NOT Checked-In (or out) .
So to recap, if a person has booked in for 7 days and has paid for two days, you will see 2 dark green days for the paid up days and the remainder 5 days as a Light Blue. Previously you would have seen 2 dark green days and 5 light red days. The difference is that now you have visual indication of the checked-in or not status of the booking.
Green/Blue
Paid-up days in booking
This is one booking. The Green shows the paid-up days (the night of ..), the blue shows the remainder days of the booking. Blue also means the booking has a checked-in status.
Green/Red
Similar to the above example, but site has a "Not Checked-In" Status. Site fees have been taken and the site is paid up for 4 days, but the Ch-In status has been reset by the operator. The client has not checked-out but is not in. This is an unusual case. Note that the site is still booked and can not be re-booked as the checked-out indicator is not set.
Note that UniRes sets the checked-in status automatically when a site/room fee is charges using the S key in charges.
Hold
Waiting for payment
This indicative colour is used to monitor payments from new clients.
Hold means "waiting for payment", of course, when a booking exists, the room/site is reserved. The Hold indicator should not be confused with "Holding a site reservation". When you make a new booking and the System Settings have been set with a default "Hold Days" value, the booking will appear in a bright red, indicating that no payment has been received yet from the client (eg. a deposit). When time passes and the hold days value has lapsed, the Hold changes to Hold Expired colour.
See : File Maintenance - System Settings - Booking Settings section.
Hold Expired
This violet colour means no payments have been received from a new client before the hold expired date.
You can set or override or extend the hold-to date and time by clicking on the booking and changing the hold value fields in the Quick Details screen that pops up.
Tip: If you do not want to use the hold colouring, it can be turned off in the File Maintenance - System Settings - Booking Settings screen by changing the Hold Days to zero. The Confirmed/Unconfirmed button in the Quick Details will also remove the hold colouring status check.
Cancelled Booking and Checked-Out Booking display system.
All checked-out bookings will be shown in a feint grey colour
on the booking ledger. You can now double left-click on a checked-out booking to make a new booking, just the same as you could for a vacant day grid cell.
Checked-out bookings no longer disappear unless they are obscured by new bookings over the period.
Cancelled Bookings
Cancelled bookings do not show on the ledger to avoid clutter.
For Cancelled bookings, the CANCELLATION DATE and the currently logged on user name are recorded (if passwords are enabled) in the customers transaction list. Use the Statement print/preview in the account to view the comment entry.
Of course, if you perform a "Regular Cleanup", checked-out and cancelled bookings are moved to the history file.
How to Display a Checked-Out or Cancelled Booking Details
Right-Click on a checked-out booking (feint grey), and select Quick Details from the pop-up menu. You can then follow on still to the Charges screen.
